List of Staff

Staff List has other navigation and functionalities for adding new staff, filtering and searching staff based on multiple queries.

The annotated numbers has the following interpretations:

  1. Add New Staff.
  2. Import Staff from a SpreadSheet file.
  3. Filter Staff based on multiple query options. This lists Staff in a table for other operations such as Edit, Delete and Export.
  4. Search for staff by name, phone, staff number, etc.

Staff Filtered List

When Option 3 from above is clicked, you get a Filter dialog box. This is helpful in combining multiple parameters for filtering and fine-tunning your results.

Click on the Is Active to filter active staff members, if you desire no other operations.

After providing some parameters in the filter dialog box, the staff results are displayed as below with:

  1. Check multiple staff
  2. Displays other actions such as Detail, Edit and Delete.
  3. Enabled if more than one staff is check from scenario 1. This then gives you the ability to delete multiple staff instead of using scenario 2.
  4. Export filtered list to Excel file format.

Import Staff

Clicking on the Import button on the List page gives you the functionality to upload bulk data of Staff from an existing Excel file.

Staff Upload

Info

To be successful with the staff upload, you have to click on theTemplate link to download the template. This provides the basic guidelines for the various fields necessary for data input.

Error

The Headings of the downloaded Excel template should not be altered. In addition, do not delete any column to avoid importation errors. Abide by the guidelines below to enter your information.

Hint

The following Headings are required for successful staff upload:

  1. Staff Number: This is a unique input, any duplicate will raise an error uploading the file.
  2. First Name
  3. Last Name
  4. Gender: This is either Male or Female.
  5. Birthdate: The format is yyyy-mm-dd. Make sure to capture all the parts of the date.
  6. Hometown
  7. Home Region: This should be selected from the Regions tab in the Excel template.
  8. Phone Number
  9. SSNIT Number
  10. Staff Grade
  11. Department
  12. Is Teaching Staff:This is either Yes or No.
  13. Association
  14. Country
  15. Has Login: Creates a user account for staff to access the portal. If the software is used in offline mode, set the value to No. However, if the software is accessed via online, it is recommended to set the value to Yes to automatically send the account details to each staff via SMS. The User Creation configuration in the Messaging under Notification Settings should be enabled for the SMS deliveries.

After preparing the staff template file for upload, click on Attach and the Upload button will be enabled.

Finally, click on the Upload button to upload the data. During this process, the file will be validated and errors will be thrown if any. If there are no errors, you should the success notification.
